Job Description:
GENERAL RESPONSIBILITIES: Performs all clerical and related duties associated with the WIC Program at Whitney Young Health (WYH)SPECIFIC RESPONSIBILITIES:
  • Interacts face to face and on the phone with all participants and potential participants in a respectful courteous manner using the language line when appropriate.
  • Informs all participants of their Rights and Responsibilities at every WIC Certification appointment.
  • Conducts the identity, residence and income eligibility portions of the WIC certification process.
  • Performs data entry, including charting and filing duties.
  • Documents the reason for a one -month certification including what the missing proof is.
  • Documents in participants electronic file when missing proof is received and changes the one-month certification to a twelve-month certification.
  • Performs Anthropometry and Hematological measurements for all WC participants.
  • Responsible for all reception duties including answering the phones in a respectful professional manor.
  • Schedules WIC appointments appropriately.
  • Responsible for recruiting new patients for the WMY Health Center and schedules medical and dental appointments for them as warranted.
  • Sets up charts in Athena for new patients, including checking and verifying insurance information.
  • Acts as Language Access Coordinator and keeps all mandatory forms in all available languages up to date.
  • Generates, prints and scans all mandatory WIC documents including the waiver of right of interpretation services.
  • Calls all participants who have missed their appointment and sends out missed appointment letters.
  • Issues eWIC cards to participants and assists them in setting up their pin number.
  • Assist participants in setting up the WIC2GO application.
  • Assists in the voter registration process and submits completed forms to the WIC Voter Registration Coordinator weekly.
  • Process incoming and outgoing transfers.
  • Maintains up to date knowledge of programs and services available at Whitney Young Health Center as well as organizations in the community and makes referrals to appropriate agencies as needed. Documents all incoming and outgoing referrals in NYWIC.
  • Keeps our referral board and referral binder up to date.
  • Provides nutrition education to non-high risk clients as needed.
  • Issues Farmer's Market Coupons to clients and explains how to use them.
  • Documents client vendor complaints and completes appropriate forms and submits to Bureau of Special Investigations.
  • Takes part in training designated by WIC Coordinator or designee.
  • Maintains a yearly training plan and attains mandatory continuing education credits as mandated by NYS DOH.
  • Responsible for inventorying educational and medical supplies and notifies WIC Coordinator when supplies are getting low and need to be ordered.
  • Travel to off-site facilities to provide WIC services.
  • Works late night and Saturdays as warranted.
  • Share in daily maintaining of a professional appearance of the WIC waiting area and keeping children's toys clean with the use of approved disinfectant wipes.
  • Share in the maintenance and cleaning of measuring equipment with approved disinfectant wipes.
  • Share in daily cleaning of the Health Center and WIC Breastfeeding Lounges.
  • Performs daily maintenance of HemoCue equipment and maintains log of daily maintenance.
  • Provides transportation assistance to participant's in need, through Healthy Alliance Ride Health Platform.
  • Utilizes NYS Health Commerce System to obtain immunization records to assist participants with verification proofs of eligibility.
  • Uses EMEDNY EPACES system to verify Medicaid for participants.
  • Serves as a committee member on the Unite Us Platform ensuring timely relevant referrals for all WIC participants.
  • Demonstrates excellence in both internal and external customer service.
  • Understands and is able to effectively communicate HIPAA compliance, corporate compliance and client confidentiality.
  • Ensures and/or remains in compliance with local, state, and federal regulation, i.e. DHHS HRSA and NYSDOH, and all accreditation standards (e.g. Joint Commission and NCQA-PCMH).
  • Adheres to the National Patient Safety Goals as defined by the Joint Commission and Whitney M. Young Jr. Health Center.
  • Completes other duties as assigned.
RequirementsMINIMUM QUALIFICATIONS: High School diploma plus one (1) to two (2) years' experience working with people in community education programs, preferably in a nutrition program.PREFERRED QUALIFICATIONS: Associates degree in Food/Nutrition or related field.All qualified applicants will receive consideration for employment without regard to race, color, religion, sex, sexual orientation, gender identity, national origin, disability, status as a protected veteran, or any other legally protected status.
