Job Title: Project Administrator - Construction

Overview: We are seeking a highly organized and detail-oriented Project Administrator to join our client' construction team. The Project Administrator will play a key role in supporting project managers and construction teams in administrative tasks to ensure the successful planning, execution, and completion of construction projects.

Responsibilities:

  • Project Documentation: Maintain accurate and organized project documentation, including contracts, permits, drawings, specifications, and change orders.
  • Subcontractor Coordination: Assist in coordinating subcontractor activities, including obtaining bids, processing contracts, and ensuring compliance with project requirements.
  • Material Procurement: Support the procurement process by obtaining quotes, issuing purchase orders, and tracking deliveries to ensure timely availability of materials and supplies.
  • Safety Compliance: Assist in ensuring compliance with safety regulations and company policies. Maintain safety records and coordinate safety training for project personnel.
  • Budget Tracking: Assist project managers in tracking project expenses against the budget. Monitor costs related to labor, materials, equipment, and subcontractors.
  • Schedule Management: Support the development and maintenance of project schedules. Coordinate with project teams to ensure adherence to construction timelines and milestones.
  • Quality Assurance: Assist in monitoring construction quality and compliance with specifications. Document quality issues and assist in implementing corrective actions.
  • Meeting Coordination: Schedule and coordinate project meetings, including pre-construction meetings, progress meetings, and closeout meetings. Prepare meeting agendas and minutes.
  • Change Management: Assist in processing change orders and documenting changes to project scope, schedule, and budget. Ensure proper approval and documentation of change requests.
  • Requirements:

  • Bachelor's degree in construction management, engineering, or a related field (preferred).
  • Previous experience in construction administration or project management.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Proficiency in construction management software (e.g., Procore, PlanGrid, Autodesk BIM 360).
  • Knowledge of construction contracts, codes, and regulations.
  • Ability to work collaboratively in a fast-paced environment.
  • Flexibility to adapt to changing project priorities and deadlines.
