Calculated Hire is in search of a proactive and detail-oriented individual to join our client's team as a Sales Administration Assistant. Our client has a widespread presence throughout Europe and are rapidly increasing their footprint in the USA. This role will provide vital support to our sales team by managing administrative tasks, facilitating communication between departments, and ensuring the smooth operation of sales processes. The ideal candidate will possess strong organizational skills, excellent communication abilities, and a customer-focused mindset.

Responsibility Overview:

  • Assist the sales team with administrative tasks such as preparing sales reports, processing orders, and maintaining customer records.
  • Respond to customer inquiries and requests in a timely and professional manner via phone, email, or in-person.
  • Coordinate sales-related activities such as meetings, appointments, and travel arrangements for the sales team.
  • Prepare and distribute sales materials, presentations, and proposals as needed.
  • Collaborate with other departments, including marketing, finance, and logistics, to ensure seamless coordination of sales activities.
  • Maintain accurate and up-to-date records of sales transactions, customer interactions, and inventory levels.
  • Assist in the organization and execution of sales events, trade shows, and promotional activities.
  • Monitor and track sales performance metrics, prepare reports, and identify areas for improvement.
  • Provide general administrative support to the sales team, including managing calendars, scheduling meetings, and filing documents.
  • Stay informed about industry trends, market developments, and competitor activities to support sales efforts effectively.

Qualifications:

  • High school diploma or equivalent; associate or bachelor's degree preferred.
  • Previous experience in sales administration, customer service, or a related field is advantageous.
  • Must have experience with an ERP software (SAP & Salesforce Preferred)
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Excellent communication skills, both verbal and written in English and Spanish.
  • Strong organizational and time management abilities.
  • Attention to detail and accuracy in data entry and record-keeping.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Customer-focused attitude with a commitment to delivering high-quality service.
