Job Details Job Title Philanthropy Assistant IReports To Director of Philanthropy, Data and AnalyticsSalary Grade N6FLSA Status Non-ExemptEffective Date April 2024Summary The Philanthropy Assistant I, is the first point of contact for guests visiting the Home Office. They welcome guests positively, address their needs or direct them to the appropriate person/department, coordinate front-desk activities, perform a variety of administrative and clerical tasks for the data team, and assist the broader Philanthropy team as needed. A high level of discretion and confidentiality are necessary when engaging with or assisting either donors or clients.Essential Functions
  • Greet and welcome clients, employees, vendors, and other visitors as soon as they arrive at the office and direct visitors to the appropriate person and office.
  • Ensure the reception area is tidy and presentable, with all necessary stationery and materials.
  • Receive, sort and distribute daily mail/deliveries.
  • Maintain office security by following safety procedures and controlling access to the building by screening and admitting people who press the front door buzzer.
  • When clients present seeking services, greet compassionately and provide current and potential clients with up-to-date information on client services, wayfinding to Village programs, warehouse and general FJV policies
  • Coordinate and order office and lunchroom supplies and maintain the needed inventory
  • Assist with gift processing and data entry, maintain data entry standards, and perform cleanup of records on an ongoing basis
  • Enter new constituent contacts and update constituent data as requested by data team
  • Maintain and assist with scheduling conference room space
  • Provide general administrative support to philanthropy team, including preparation of correspondence and calendaring
  • Perform other administrative duties such as filing, photocopying, preparing and mailing letters, scheduling FedEx pick-ups and service calls on the copier, etc.
  • Complete assigned training and acknowledge company policies on time Perform other duties as assigned
Qualifications
  • High school diploma required, bachelor's degree preferred.
  • Two to three years of administrative experience.
  • Intermediate user of MS Office.
  • Two to three years of customer service experience.
  • Knowledge of CRM databases, such as Raiser's Edge, preferred.
  • Be at least 21 years old with at least three years of driving experience; possess a valid California driver's license; and have no Class 1 or more than two Class 2 violations within the past 36 months.
  • Participate in an annual Tuberculosis screening and/or other screenings as necessary. Reasonable accommodations may be granted where appropriate.
