GENERAL PURPOSE:Serves as the managing agent responsible for oversight in the various aspects of Property Management and Project Management that assures compliance with University standards, policies and procedures and contract documents. Facilitates and coordinates offsite leased properties, alterations and renovations (under $1 million), and special projects University-wide including the River Campus, Medical Center and affiliates.**JOB DUTIES AND RESPONSIBILITIES:**+ Manages, communicates, and facilitates landlord responsibilities for leased and off-site owned building properties within the Real Estate Portfolio. Liaison to landlord and main point of contact for University departmental resources (i.e.: Administrators/Practice Managers, UR Facilities, Risk Management, Environmental Health & Fire Safety officers, and outsourced 3 rd party facilities vendor) to lead facilitation and resolve property/suite problems and concerns where responsibility fall upon the landlord; Conduct walk throughs, follow through on fiscal responsibility, introduce concerns to (landlord facility personnel and University resources respectively) for the betterment of the University from initial contact to completion; Examples include water leaks, mold and IAQ requests, reimbursement on property loss, life safety and mandatory testing initiatives/follow through, appraisal/environmental survey requests, etc.+ Manages internal operational facility issues for University leased and off-site owned locations signage requests, outsourced security services, etc. Facilitates renovations and alterations (under $1 million), with engineers and building contractors; Coordinates building items including vending machine locations, storage usage and miscellaneous requests; Conducts and leads scheduled meetings; Resolves tenant/user concerns by exercising good judgment and communicating frequently; Initiates IT and UIT requests for internal departmental moves; Requests proposals, award POs, organize work efforts for walk through and access, create receipts for payment processes; Summarizes and communicates work efforts, schedules follow up meetings, where applicable.+ Coordinates internal relocations and onboarding of new HH and Business tenancy. Communicates process and educates UR administrators, practice and program managers of tenant vs. landlord responsibilities; initiates contact with 3 rd party facility vendor to maintain and ensure premise operations (maintenance and housekeeping and minor renovations) run smoothly; Conduct meetings when appropriate, introduce landlord representatives and notify existing UR tenancy of upcoming changes and new tenants, keeps communication fluid for awareness of any noise or interruption of business operations.+ Responds and manages emergency situations ie. floods, power outages, fire alarms, HVAC Outages. Coordinates with Facilities, Ambulatory Operations and contracted vendors to resolve issues in a timely manner. Communicates course of action and resolution efforts to all necessary parties.+ Notifies landlords of project moves and manages to ensure appropriate documentation is handed off; Receives space utilization changes and coordinates rent allocations with Finance. Initiates requisitions for POs in Workday/P2P; Manages the Memorandum of Understanding (MOU) process to track changes in rent allocation.+ Facilitates tenant meetings for leased and owned properties. Coordinates communication with UR/HH point persons, facility vendor, outsourced security guards (where applicable) and landlords to maintain interior building systems, exterior premises, and demised tenanted improvements; manages and communicates development of capital budget needs for respective owned properties and leaseholds where applicable; and maintains cost avoidance measures when necessary; Communicates regarding work scope between non-UR building owners and security providers where applicable.+ Initiates long term and blanket POs and approves payments and creates receipts in Workday/P2P for University vendors (i.e.: security vendors, waste removal services, etc.) and various programs/off-site locations. Establishes yearly contracts working with UR Corporate Purchasing to verify med asset rates and confirm insurance is up-to-date.+ Makes initial contact with programs whose leases are up for renewal to determine improvement needs. Makes recommendations to Director of Leasing regarding tenant improvement allocations and landlord work scopes.+ Ensures the well-being of the Real Estate Portfolio. Works closely with Property Management Firm for monthly portfolio updates.**QUALIFICATIONS:**+ Bachelor's degree in Business or related field required+ 3-5 years of experience in property management and evaluations or equivalent combination of education and experience required+ Excellent communication, time management and enterprise software skills, Microsoft Office. Ability to resolve conflict disputes.
