Procurement and Contracts Operations Specialist

Job Overview:

Our client, an esteemed financial services firm, is seeking a Procurement Management Operations Specialist. This role is critical in ensuring the accuracy and efficiency of contract management process and will manage special contract and vendor projects and act as a liaison between clients, vendors, and internal teams.

Key Responsibilities:

  • Handle the entire contract delivery process for a portfolio of client contracts from start to finish.
  • Serve as the main point of contact between clients, vendors, and colleagues, facilitating collaboration and achieving objectives.
  • Maintain contracts and proposals within the Conga contract lifecycle management system (CLM).
  • Act as a client representative during contract development and negotiation phases.
  • Partner with the client s legal team to ensure smooth contract communication and management.
  • Translate contract terms into understandable language for non-specialists, addressing risks and client concerns.
  • Review and validate contract language before it is submitted for executive and client/colleague approval.
  • Draft documents and routine correspondences with high attention to detail and accuracy, creating new client communications as needed.
  • Manage deadlines and provide ongoing status updates to managers and clients about items in the pipeline.
  • Regularly summarize key projects and contracted vendors/consultants.
  • Coordinate with accounts payable and clients on new contracts, guiding on invoices and reconciling them against contracts.
  • Assist with various special projects and additional assignments as required.

Qualifications:

  • Direct experience managing contracts and agreements is essential.
  • Exceptional interpersonal communication skills, with the ability to interface effectively with senior-level clients and colleagues, both verbally and in writing.
  • Capability to handle multiple projects simultaneously and prioritize tasks effectively using sound judgment.
  • Ability to maintain professionalism and a positive attitude in a fast-paced environment.
  • Motivated, efficient, proactive, with a customer service-oriented mindset.
  • Strong relationship-building skills with both internal contacts and external clients.
  • Excellent organizational skills and attention to detail, with superior professional writing abilities.
  • Ability to follow processes, uphold policies and procedures, and think creatively when solving problems.
  • Ability to work both independently and as part of a team.
  • Capability to protect confidential and proprietary information of the firm.
  • Proficiency with the MS Office Suite, including Word, Outlook, and Excel (specifically, a working knowledge of pivot tables, basic formulas and functions, and formatting), as well as Adobe Acrobat.
  • Experience with contract management systems is a plus (such as Conga, Juro, ContractWorks, PandaDoc, etc.).
  • Experience with IT agreements is advantageous but not required.
  • Previous experience in a professional service, procurement, or law firm setting is preferred.
