As our Paralegal, you will assist the Legal Team in monitoring national legal issues for the Village. You will act as a link to the other Village teams and oversee and coordinate of administration of the Legal Team.

What you will be doing

General Legal Issues

  • Support the legal team with documentation, meeting coordination, internal processes
  • Assist in queries from other teams and support Leasing, Retail, Marketing, Operations and Finance Village teams by attending team meeting s and coordinating regular catch up calls
  • Ensure compliance of Brands with contractual obligations under the leases and licenses
  • Ensure compliance of third party suppliers with contractual obligations under their agreements with the Village
  • Take part in managing legal issues relating to shop fit Maintain and review content on our company site of legal documents
  • Maintain trackers for leases, lease clauses, and other issues that are tracked across the Collection

Contractual Documents

  • Assist with preparing and editing lease documents, including letters of intent and lease abstracts
  • Create and update Village contract schedule
  • Assist in drafting legal documents and liaise with parties involved
  • Assist in preparation of contracts and service agreements and assist with new supplier forms
  • Manage lease-related signature request forms, circulate leasing documents for signature, track receipt of such documents, and manage the sign-off procedures
  • Follow up all outstanding post-signature matters and ensure receipt of any required statutory declarations, direct debit forms and hard copies of the lease or license documents

Administration

  • Handle entry of lease documents and lease terms into internal databases and data systems for existing and new tenants.
  • Track changes and proposed changes to leases, brand deal statuses and legal issue lists, and follow up with internal and external counsel
  • Draft correspondence and notices to tenants / licensees
  • Assist in the collection and filing of required leasing/legal documents from brands post-lease signature, including insurance certificates and letters of credit
  • Maintain a filing and archive system for legal documents
  • Create and distribute minutes for legal and leasing meetings and organize and prepare the agendas for such meetings
  • Other administrative duties (such as calendar coordination etc.) for BPV lawyers

  • Bachelor s degree or equivalent combination of education and experience
  • Experience in supporting and coordinating complex projects, liaising with multiple stakeholders and providing a comprehensive administrative service
  • Experience supporting lawyers who practice real estate law strongly preferred
  • Experience in analyzing complex legal documents
  • Computer literate and high proficiency in Microsoft Office
  • Excellent organization and administration skills

  • Able to communicate clearly and politely with internal stakeholders and external partners
  • Positive, flexible can-do approach
  • Exercises discretion and remains poised under pressure
