Under supervision of the General Counsel, the Paralegal acts as the point-of-contact for incoming inquiries to the Legal Department and provides administrative support, organizing, tracking and/or responding to related requests, responses, litigation and coordinating Board materials. Performs preliminary research, gathers information to respond subpoenas and other court documents, and aids in discovery for ongoing litigation. Serves as administrator of contract management system and for department s invoice billing system, maintains and tracks corporate records, makes notifications and prepares or reviews documents.

Key/Essential Functions & Responsibilities

  • Acts as point of contact for incoming inquiries to the Legal Department by phone or email and arranges for handling and/or escalation accordingly.
  • Supports General Counsel with a variety of day-to-day administrative duties, such as coordinating meetings and managing calendar and preparing agendas or presentations.
  • Obtains pertinent information and performs preliminary research to prepare responses for inquiries.
  • Maintains, organizes and tracks corporate and legal records in paper or electronic form; makes notifications and/or coordinates requests for documents for litigation holds.
  • Assists with prelitigation and litigation matters including but not limited to conducting factual research, case management, and drafting and issuing legal preservation notices.
  • Monitors ongoing litigation, ensuring files and litigation tracker are kept up-to-date and prepares status reports as requested by the General Counsel.
  • Coordinates review and response to third-party subpoenas, legal-related Authorizations for Release of Health Information, employment records requests, and compliance related document requests, making notifications, gathering and compiling pertinent information from applicable departments and ensuring redacting of confidential information and bates-stamping records for production.
  • Act as an administrator for the legal department s invoice billing, SimpleLegal and conducts first-level review of legal invoices.
  • Under the guidance of the General Counsel, conducts legal research as needed and assists in drafting legal documents and/or correspondence regarding legal matters.
  • Serves as administrator of the organization s electronic contract management system, tracking and monitoring contract-related information including first-level review of contracts, agreements, etc. for all departments, monitoring the life cycle of contracts and database maintenance.
  • Provides administrative support for the organization and its subsidiaries Board of Trustees in collaboration with CEO s office including by not limited to scheduling Board meetings; preparing and maintaining Board resolutions; and drafting or coordinating Board meeting minutes, agendas, and other communications or materials.
  • Under the guidance of the General Counsel, interfaces and coordinates with in-house and outside counsel to assist in discovery by locating and organizing relevant documents, conducting document review and participating in witness interviews.
  • Makes recommendations regarding changes to practices and procedures to support increased efficiency and effectiveness.
  • Assist with subsidiary and legal entity management and governance, local filings and registrations. Performs all other duties, as assigned.

Minimum Qualification Requirements including education, experience, licensure/certification, etc. and essential physical capabilities (e.g. lifting, assisting lifting, standing, etc.)

  • Paralegal Certification from an accredited program or from a program approved by the American Bar Association; and
  • At least five (5) years working as a paralegal in a generalist capacity including experience tracking and maintaining data in electronic systems; or
  • Satisfactory equivalent combination of education, experience and/or training.
  • Working knowledge of contracts, labor and employment law, medical record acquisition and litigation.
  • Ability to report on-site to our Manhattan office multiple days per week and to occasionally travel to program sites.
  • Strong critical thinking and analytical skills.
  • Ability to maintain confidential and sensitive information.
  • Excellent written and verbal communication and interpersonal skills.
  • Proficiency working with Microsoft Office Suite and ability to quickly learn new software and/or electronic systems.
  • Highly organized and strong project management and research skills and the ability to effectively handle large volume and diversity of matters, with a focus on continuous process improvement.

Preferred Qualification Requirements (desired requirements beyond MQRs above)

  • Current NYS Notary Public

Compensation: $80,000.00-$90,000.00 annually
