The Operations Coordinator reports to the Assistant Director of Operations.Duties & ResponsibilitiesStudent Information & Record KeepingInput and ensure the fidelity/accuracy of all data stored in Public Prep's student data across student information systems (i.e., PowerSchool, Illuminate, MAP, etc.)Generate reports from databases for internal and external reporting, compliance, and school operationsKeep all student records up to date, including but not limited to immunization, birth certificate, proof of address, physical examinations, lunch forms, and any other document required by the schoolObtain all school-level student change documentationProduce and distribute progress reports and report cardsSchool OperationsProvide daily supervision during lunch and recess Lead dismissal preparation daily, including maintaining the dismissal binder and after-school roster Dismiss after-school, and lead late pick-up process Participate in school coverage duties as assigned (e.g., arrival, classroom)Issue Metrocards semi-annually Manage all aspects of field trip planning and execution, except vendor paymentFacilitate injury, lice, and bed bug reporting processDistribute fire drill rosters on a weekly -basis, absent list on a daily -basisCommunicate proactively with families about upcoming opportunities for a deeper school-family partnership.Send notification calls and messages (i.e., Remind calls) to parents as neededMaintain the school's voicemail system, ensuring special messaging such as Snow Days and vacations are up to dateProvide additional support to the Director of Operations, as directed Support Operations team sustainability by creating and maintaining function-specific process maps as necessarySupport after-school and family events, as necessaryUphold quality standards and align activities with school-wide vision of excellence.Maintain your setting with a consistent, comprehensive effort.Assessment SupportConfirm receipt of all student assessment materials, ensuring correct tests in the proper quantity are deliveredEnsure proper procedures and protocols are followed for the security of assessment materials, i.e. storing in a locked closetPrepare for assessment administration, i.e., NWEA MAP online, NYS test booklets/assessment materials, sharpening pencils, printing testing signs and student labels, etc. Securely pack and deliver NYS tests to proper scoring facilityServe as primary point-of-contact for interim assessment database online and register 3rd and 4th grade students and staff members in the database CommunicationCommunicate in writing and orally in a clear, concise, and compelling manner.Anticipate the reactions of others and plan pre-emptively.Tailor communication (including content, tone, modality, and timing) to a range of audiences and settings.Provide precise, accurate answers to family inquiries.Build relationships of respect and rapport with students, staff, and families.QualificationsA bachelor's degree from an accredited college or university preferredMinimum 2 years of previous office management/ administrative experienceFluency in Spanish preferredSuperior organizational skillsA growth mindsetTeam player with strong interpersonal skills Proficient in Microsoft Word, Excel, Outlook, PowerPoint, and PublisherDemonstrated passion and commitment to the Public Prep missionMaturity, humility, strong work ethic, and a roll-up-my-sleeves mentality
