Who We Are:Asian Americans for Equality (AAFE) is a 501 (c) (3) non-profit organization based in New York City. Founded in 1974 in Manhattans Chinatown to advocate for equal rights, AAFE has transformed in the past four decades to become one of the citys leading housing, social service and community development organizations. AAFE advances racial, social and economic justice for Asian Americans and other systematically disadvantaged communities, guided by our experiences as Asian Americans and our commitment to civil rights. AAFE is nationally recognized as an innovative affordable housing developer and property manager; we have created and preserved more than 1,000 affordable rental units in Manhattan and Queens and provided over $400 million in mortgage financing for first-time homebuyers. AAFE also supports economic empowerment through two affiliates: a small business CDFI, Renaissance EDC (REDC), that provides financial and technical assistance to low-income, immigrant entrepreneurs; and a homeownership CDFI, Community Development Fund (CDF), that provides counseling and financial assistance to first-time and existinghomeowners. From neighborhood offices in Chinatown and the Lower East Side (Manhattan) and Flushing and Jackson Heights (Queens) we provide an array of multilingual counseling and educational programs in support of low-income tenants, seniors and immigrant youth. Position Summary:The Operations Associate is responsible for day-to-day office operations, general administrative duties, IT support, and assistance with a variety of special projects.The Operations Associate will report to the Chief of Staff and work closely with the Operations Manager. This has the potential to be a hybrid role, with the ability to work from home two days a week. Responsibilities:Office management:

  • Provide front desk reception for AAFE corporate office - answering, screening, and forwarding calls.
  • Manage mail distribution.
  • Maintain office supplies, business card, and other supply orders.
  • Assist with credit card invoice processing for AAFE program staff.
Technology and Office Equipment coordination & oversight:
  • Assist in working with 3rd-party IT provider to ensure timely and successful resolution to employee IT hardware and software needs.
  • Assist in managing Zoom phone and video conference systems, providing basic support to employees.
  • Maintain an up-to-date inventory of IT equipment, including equipment borrowed by employees.
  • Coordinate part of the on and offboarding of employees with the IT provider and HR Director.
  • Assist with contracts and maintenance for leased office equipment including copiers and water coolers.
Special Events support:
  • Provide administrative and vendor management support for AAFE's annual fundraising gala and other special events including but not limited to smaller fundraising events, conferences, and community resource fairs.
  • Assist with donations processing, including ensuring that donor acknowledgments are sent in a timely manner.
Board liaison and administrative support:
  • Assist with scheduling of board and committee meetings for AAFE and one or more affiliate boards.
  • Assist in preparing materials for board and committee meetings.
  • Assist in documenting and tracking action items following board and committee meetings.
Additional Responsibilities:
  • Other activities and duties as needed to support the Operations Team.
Qualifications & Skills:
  • Bachelors degree or any combination of High School degree or equivalent with any experience and training that demonstrates the ability to perform the job responsibilities.
  • Strong, verbal, written and interpersonal communication skills with the ability to present information to a diverse client base- specifically racially, ethnically and socially diverse.
  • Bilingual/Fluent in English/Chinese preferred.
  • 3 years of experience in office administration and/or office management experience preferred.
  • Excellent computer skills, including a high degree of proficiency in Microsoft Office Suite and Google Suite
  • Strong organizational skills with demonstrated attention to detail and focus.
  • Must be able to maintain confidentiality of sensitive materials and information
  • Ability to prioritize and handle multiple complex projects

COMPENSATION:AAFE offers rich benefits, recognition, opportunities for professional growth and competitive salaries. Salary is budgeted at $45,000.
