Job Description:

We are seeking a personable, highly organized and proactive Office Manager / Personal Assistant to provide comprehensive support to our CEO. This dynamic role encompasses a range of responsibilities, including managing meetings, and overseeing office operations. As an Executive Assistant, you will play a pivotal role in ensuring the smooth functioning of day-to-day operations, while also overseeing personal tasks to assist in achieving a seamless work-life balance for the executive.

Key Responsibilities:

  • Organize and prepare for meetings, including document gathering and logistical arrangements.
  • Maintain a comprehensive record of account logins, passwords, and other critical information, ensuring they are up-to-date and secure.
  • Answer and respond to phone calls, conveying messages and pertinent information to the executive promptly.
  • Prioritize and manage email correspondence, respond when necessary, and provide concise summaries of articles and documents when asked.
  • Efficiently manage and organize both professional and personal calendars, scheduling and coordinating meetings and appointments.
  • Monitor and manage Our Family Wizard and Cozi daily, ensuring family schedules are coordinated efficiently.
  • Facilitate travel plans, including booking accommodations, transportation, and any other necessary arrangements.
  • Act as the office manager, overseeing inventory of office supplies and ensuring their availability for day-to-day operations.
  • Carry out various errands as requested, which may include coffee shops, FedEx, or Staples.
  • Perform any other duties assigned by the executives to ensure the smooth functioning of operations.

Skillset and Background:

  • Bachelor s degree preferred.
  • 3-5 years of prior experience in providing comprehensive support to a senior executive or team.
  • Proficient in the use of Microsoft Office Suite (Outlook, Teams, Word, PowerPoint, and Excel).
  • Strong organizational and time-management skills.
  • Proactive approach to problem-solving, with an ability to anticipate needs.
  • Exceptional multitasking abilities.

This position may require occasional time in our NYC office.
