Office Manager / Administrator

Location: New York, NY 10001

Salary: $50,000 - $60,000

Schedule: Monday Friday 9 am 6 pm

Site: Must be able to work from an office setting 5 days a week.

Job Description:

A PR firm seeks to hire an Office Manager to support a small office team with various administrative tasks. This role will require working very closely with the founder of the firm. The ideal candidate must be extremely organized and able to manage various projects. This position is ideal for someone with previous admin experience and interest in office management. Must be local to the NYC area. Only local candidates will be considered for this role.

Responsibilities:

  • Work closely with the office team and provide overall support as needed on various projects
  • Responsible for organizing and managing a heavy calendar for the Founder
  • Assist with planning special events and organizing conference rooms for important meetings
  • Keeping track of supplies and ordering new supplies and equipment for the office
  • Responding to phone calls and messages accurately
  • Booking flights and all travel arrangements.
  • Creating detailed travel itineraries and organizing visas, or passport processing.
  • Coordinating and communicating with team members of the office and the founder and helping with any personal projects
  • Providing support with research
  • Administrative support with any miscellaneous tasks
  • Organizing documents for bids and presentation
  • Making sure all conference rooms are ready for important meetings
  • Managing all common employee areas and making sure they are kept and orderly maintained
  • Responsible for executing special requests, running errands, and related duties as needed

Requirements:

  • 4-year college degree
  • Minimum of 1-2 years as an office administrator or office manager experience
  • Excellent references from both current and previous employers
  • Prioritize executive tasks and multi-task effectively
  • Strong communication skills, both written and verbal (additional language skills are a plus)
  • Proficiency in all areas of Microsoft Office and Mac OSX; must be very tech-savvy
  • Professional mindset and the utmost discretion
  • Ability to work independently and as part of a team
  • Detail-oriented with exceptional organizational skills
  • Flexibility with hours and schedule; available to work overtime as needed
  • Valid US work authorization
