Title: Office Assistant

My client, a prominent company in the renewable investments sector, is seeking a dedicated Office Assistant to provide support in reception, facilities management, and backup Executive Assistant duties. This multifaceted role requires a proactive individual with exceptional organizational skills and a customer service-oriented mindset.

Responsibilities:

  • Greet visitors, clients, and employees with a warm and professional demeanor at the reception desk.
  • Manage incoming calls, emails, and correspondence, directing inquiries to the appropriate contacts.
  • Coordinate conference room reservations, catering orders, and logistical arrangements for meetings and events.
  • Oversee office supplies inventory, ordering, and maintenance to ensure adequate stock levels and a tidy workspace.
  • Assist with facilities management tasks, including coordinating repairs, maintenance requests, and vendor management.
  • Act as a point of contact for building management, security, and other external service providers.
  • Support the Executive Assistant with calendar management, travel arrangements, and expense reporting as needed.
  • Handle administrative tasks such as filing, data entry, and document preparation with accuracy and efficiency.
  • Maintain confidentiality and discretion when handling sensitive information and proprietary documents.
  • Collaborate with team members to ensure smooth operations and contribute to a positive work environment.
  • Qualifications:

  • Bachelor's degree in business administration, hospitality management, or related field preferred.
  • Minimum of two years of professional experience in reception, concierge, facilities management, or office support roles.
  • Previous experience in a corporate environment is highly desirable.
  • Strong interpersonal skills with the ability to communicate effectively with diverse stakeholders.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other office productivity tools.
  • Excellent organizational skills and attention to detail, with the ability to prioritize tasks and meet deadlines.
  • Adaptability and willingness to take on new challenges in a dynamic work environment.
  • Demonstrated customer service orientation and a friendly, approachable demeanor.
  • Ability to maintain composure under pressure and handle multiple tasks simultaneously.
  • Knowledge of basic office equipment and technology troubleshooting skills is a plus.
  • In accordance with the NYS pay transparency law, the base salary range for this position is $55,000 to $70,000 per year, commensurate with experience.
