Job Description:

Our client, a leading global law firm in NYC, is seeking a sophisticated, tech-savvy, experienced Legal Secretary/Executive Assistant to join their growing firm.

Flexible for 5 days a week during training and when required by attorneys and business needs.

Work from home on Mondays and Fridays on rotation

Gorgeous new office space in the Financial District.

In this role you will support 2-3 partners and a small team of associates with high level executive administrative support in addition to assisting with attorney billing, presentations, events and marketing efforts.

Our ideal candidate has strong technical skills, is comfortable in a fast-paced, collaborative team and has previous experience supporting a Partner or similar level.

What you will do:

  • Manage multiple calendars on MS Outlook
  • Liaise with clients and build relationships with their teams
  • Act as a point of contact for attorneys
  • Meeting preparation
  • Drafting and proofreading documents
  • General administrative support including photocopying, printing and scanning
  • Maintain physical and digital filing systems
  • Answer phones and manage accordingly
  • Handle attorney billing process
  • Submit and process expense reports
  • Manage contacts in Outlook; enter new contacts for business development
  • Edit client presentations on PowerPoint
  • Organize client events and dinners
  • Provide back up coverage to other EAs at the firm as needed

What you will need:

  • Associates degree/Bachelor s degree
  • 3-5+ years of experience of partner support
  • Microsoft Office including Word, PowerPoint, Outlook and Excel
  • Excellent communication skills
  • Excellent organizational skills and attention to detail
  • Strong relationship building skills
  • Exercise a high level of discretion and confidentiality
  • A strong team player; flexible to cover for other EAs as needed
  • Willingness to learn and grow in the role

Hours are 9-5pm w/ hour lunch. OT eligible.
