Job Description:

A global New York City law firm is seeking a Legal Executive Assistant to support a senior level Partner. This will provide right hand/gatekeeper support. The ideal candidate will have experience supporting a senior partner, managing partner and or chair/co-chair of a practice group. Corporate and or Litigation Law experience is preferred with a mid to large law firm or corporate environment supporting an in-house counsel.

This is a hybrid schedule - 3 days in office

Key Responsibilities

  • Act as a liaison between partners, attorneys and departments throughout the Firm, and provide executive level assistance and legal support to Senior Partner and Associate level attorneys with organizing and maintaining their workflow.
  • Heavy calendaring in Outlook as required by assignment; manage contacts lists and send invitations. Act as a proactive gatekeeper of attorneys calendar and time.
  • Reviews and processes invoices using Chrome River; assist with entering time entries, expense reports and other personnel records, and billing as needed.
  • Interface and establish positive business relationship with clients (may be highly confidential and require discretion). Build sustainable relationships of trust through open and interactive communication. Go the extra mile to engage attorneys and reduce attorney focus on administrative matters.
  • Arrange, coordinate and organize travel with support from onsite agents and the online travel booking tool.
  • Schedule and coordinate internal and external meetings and conference calls.
  • Drafts, edits, and formats documents in PowerPoint, Word, and Excel; including presentations and confidential materials.

Experience & Qualifications

  • MUST have legal experience - supporting senior partners or an in-house counsel
  • 7+ years of legal secretarial or legal executive administrative experience within a mid to large law firm.
  • High administrative and organizational skills, including strong verbal and written communication skills.
  • Strong knowledge of MS Office, including Word, Excel, and PowerPoint.
  • Licensed New York State Notary experience a plus.
