JOB TITLE: EXECUTIVE OFFICE RECEPTIONIST

MAIN FUNCTION:

The Executive Office Receptionist will work in the Executive Suite. In this role, the Executive Office Receptionist will welcome the Executive's guests by greeting them, in person or on the phone, answering or directing inquiries. The Executive Office Receptionist will also provide wide-ranging administrative support.

DUTIES AND RESPONSIBILITIES

1. Welcome the Executive's guests by greeting them, in person or on the phone, answering or directing inquiries.

2. Manage matters with an elevated level of judgement, confidentiality, and discretion.

3. Provides administrative support to assist in the day-to-day operations of the Executive Suite.

4. Sustain a daily calendar of meetings and events. Coordinate appointments and meetings and assist with travel arrangements when necessary.

5. Field inbound communications and exercise judgement in determining the appropriate resource to address the request.

6. Represent the organization and the Executives in a positive light through great follow-through skills and sound judgement.

7. Transcribes/processes and distributes minutes, correspondence, reports, and other prepared material.

8. Complete projects as assigned by the Executive Leadership.

9. Coordination of Executive communication, including taking calls and interfacing with other Executives, employees, and guests.

10. Occasional logistical preparation for meetings with Executives and other guests, including reserving space, telephone and video conferencing, catering (if required), visitor registration, and meet & greet.

11. Performs routine office duties (e.g., copying, faxing, distribution of mail).

12. Liaise with Executive Assistants in the office to ensure the Executive team are supported.

13. Manage facilities-related requests, including basic maintenance, cleaning, copier repairs, etc.

14. Has a working knowledge of Microsoft Office (Word, Excel, Outlook, etc.), Internet and Intranet.

15. Is responsible for attending all mandatory annual education programs as required by the position.

16. Employee understands and demonstrates the importance of satisfying the needs of the customer/patient by interacting with him/her in a friendly and caring way, being attentive to the customer's needs, both psychologically and physically, and by taking the initiative to maintain communication with the customer in order to provide secure and pleasant experience with Arnot Health.

17. It is understood that this lists typical duties for the classification and is not to be considered inclusive of all duties that may be assigned.

EDUCATION:

Required: High School diploma or General Education Degree (GED).

Preferred: Associate's degree in Business or a related field.

EXPERIENCE:

Required: Minimum of three years as an administrative assistant, preferably in a health care environment and/or Executive Office. Excellent interpersonal and organizational skills, ability to work independently, handle and prioritize multiple projects and deadlines. Good oral, written, typing, and proofreading skills required. Microsoft Teams and Zoom experience. Friendly, neat, and professional demeanor. Must be dependable and punctual. Ability to communicate clearly and effectively with members of Executive Leadership.

CARDIOPULMONARY RESUSCITATION (CPR) REQUIREMENTS:

No CPR required.

PHYSICAL DEMANDS:

Routine office job. Required to frequently lift 15 lbs and occasionally lift 25 lbs.

EXPOSURE CATEGORY:

Category III. Tasks that involve no exposure to blood, body fluids or tissues. Category I tasks are not a condition of employment.
