Executive Assistant to luxury C-Level Executive
High end global luxury client is seeking a bilingual (English and French) Executive Assistant for it s C-level executive. A qualified candidate has these 3 qualities: (1) experience in luxury retail, (2) is fluent in English and French, (3) and has a successful track record as an Executive Assistant.
Must possess excellent written and verbal French skills, while also having a deep understanding of the French culture and knows the area of Paris, France very well.
Some personal assistant needs are required.
Very important to have a high emotional IQ- someone who gets the need to schedule a lunch at the Ritz vs. a local popular restaurant (depending on who is attending)
Someone well versed in what to say when, can talk to celebrities and their teams with proper confidentiality
Job Description:
Calendar and time management
Work with the team to maintain and balance fluid calendar to meet the needs of the brand creative team
Oversee the planning (flights, hotels, visas, car rentals, reservations, etc.) and itineraries of a very busy and dynamic international travel schedule
Work alongside Management to ensure that the C-level Executive has adequate time allotted to review projects in order to meet deliverables
Partner with Management to build the agenda and prepare necessary materials for meetings with other Executives in the company
Administration & Communication
Prepare and draft general correspondence
High emotional acumen and situational awareness
Organize and coordinate and maintain the office
Review and systematically approve expense reports
Develop and cultivate relationships with cross-functional Administrative and Executive Assistants Prepare and submit facilities requests
Ensure that all necessary preparations and tools are in place for scheduled meetings and special events
Some personal assistant requests will be required
Project management
Work on special projects as assigned by leadership.
Lead a wide variety of personal and professional tasks on an as needed basis.
Required Qualifications:
At least 5+ years of luxury executive experience
Excellent English and French verbal and written communication skills and ability to work independently with minimal direction as well as part of a team
Proficient in Microsoft Word, Excel, PowerPoint and Outlook
Excellent organizational skills and attention to detail
Enjoys working with and supporting others in a highly creative and dynamic environment
A strong sense of independence and initiation
Ability to work on multiple projects while optimally prioritizing workload
Resilient, diplomatic, discreet, confidential and trustworthy
Maturity and discretion to handle confidential matters
