Job Description:

Summary:

We are seeking a highly skilled and organized Executive Assistant to support our Business Development Department and assist the Office Administration Team. The Executive Assistant will be responsible for providing a wide range of administrative support to the BD Team Leads, including calendar management, email management, travel coordination and more. The ideal candidate will be able to support multiple people, have experience with VIPs, strong attention to detail, excellent communication skills, and the ability to work well under pressure.

Responsibilities:

  • Manage scheduling for Head of Business Development and three BD Team Leads, including agendas, mail, email, phone calls, stakeholder management, and other company logistics
  • Coordinate complex scheduling and calendar management, as well as content and flow of information to Business Development Division
  • Coordinate and arrange complex international and domestic travel itineraries, including flights, accommodations, ground transportation, and visas
  • Assist Business Development Department with managing the Company s Workflow Management Platform (Monday.com), including implementation, reporting, and analytics
  • Attend executive meetings, take minutes, and follow through on action items to ensure timely completion
  • Assist with board meeting preparation, including equipment setup, slide deck preparation, and catering
  • Provide office and administrative support to ensure efficient office operations, including support of clients and visitors.
  • Manage expenses and process expense reports in an accurate and timely manner
  • Handle confidential and sensitive information with tact and discretion
  • Assist Management with Ad Hoc projects as needed

Requirements:

  • Bachelor's degree or equivalent
  • Minimum of 10 years of relevant and progressive experience
  • Exceptional time management skills and the ability to prioritize multiple projects while meeting deadlines.
  • Ability to exercise independent and informed judgment while understanding when to ask for guidance.
  • Outstanding written and verbal communication skills and the ability to interact with all levels of leadership.
  • Proficiency in MS Office suite, Workday, and Adobe Acrobat, Adobe Illustrator, Photoshop.
  • Occasional overtime may be required as needed.

The base pay range for this position is $115,000-$130,000.
