Job Description:

Our client, a Prestigious Private Equity Firm in Midtown Manhattan, is seeking a new Full-Time/Permanent Executive Assistant to support 4 Executives, including the CFO, Head of Capital Markets, and 2 Vice Presidents. Candidates must have a minimum of 5+ years of applicable high-level executive administrative support experience and a Bachelor s degree is required. Ideal candidates should be flexible, positive, easy going, team-oriented, smart, versatile, able to multi-task well, look around corners, accustomed to working in a fast-paced environment, and possess excellent interpersonal and communication skills (both verbal and written). This firm is amazing and looking for the best of the best. This position will be hybrid and based out of the New York office.

  • Salary depends on experience (125-150k base) plus discretionary bonus eligibility (all in 150-175k). Amazing benefits, including 100% company paid medical, 100% 401k match, free breakfast and lunch, gym on premises, carry allocations, etc.

Responsibilities:

  • Provide high-level executive administrative support to 4 Executives, including the CFO, Head of Capital Markets, and 2 VPs.
  • Schedule and organize extensive internal and external meetings, conference/video calls, and appointments; create agendas and prepare and distribute meeting materials; manage and maintain busy and ever-changing calendars for Executives.
  • Manage, facilitate, and coordinate internal and external executive communications, including taking calls, responding to emails, distributing information, and interfacing with clients.
  • Prepare internal and external corporate documents for team members and industry partners.
  • Develop and sustain a level of professionalism among staff and clientele.
  • Plan monthly board meetings.
  • Act as the point of contact between executives, employees, and portfolio companies.
  • Coordinate complex domestic and international travel arrangements and detailed itineraries.
  • Prepare, process, and submit expenses/reimbursements.
  • Provide technical and facility management support; act as the point person for vendors.
  • Collaborate and coordinate with fellow EAs
  • ??Assist with HR related duties, including on/off-boarding new employees, scheduling interviews, etc.
  • Assist with ad hoc/special projects as needed.

Required Qualifications:

  • Minimum 5+ years of high-level executive administrative support experience.
  • A Bachelor s degree is required.
  • Extremely detail-oriented and organized.
  • Impeccable interpersonal and communication skills (both verbal and written).
  • Ability to uphold a strict level of confidentiality.
  • Flexible, positive, easy going, team-oriented.
  • Smart, versatile, able to multi-task well, look around corners.
  • Accustomed to working in a fast-paced environment.
  • Ability to think proactively and prioritize work.
  • Tech savvy; strong proficiency in Microsoft Office Suite. Familiarity with cloud systems and communications.
