**JOB TYPE:** Full-time, Ongoing Contract **LOCATION:** Plano, TX **JOB SUMMARY FOR Event Coordinator:**
* As we have embarked in this journey and continue to grow our presence in diversity partner events, we are seeking an experienced Events Planner to be responsible for managing logistics around in-person and virtual conferences. This person will visualize, orchestrate and execute the logistics for several diversity events/conferences including the on-site delivery of an exceptional experience for our attendees. You will work within a team who care deeply about the success in attending these events to ensure we continue to make Client an employer of choice for diverse talent, while promoting our brand.
**RESPONSIBILITIES FOR Event Coordinator:**
* Partnering with diversity community partners, D&I Program Manager, and D&I team to identifying and recommend exposition vendors to use at conference/trade shows for diversity partner events
* In collaboration with Finance team, develop vendor relationships, ensuing vendors are approved within established Client Guidelines
* Provide full scale event logistics support and execution for both virtual and in-person events
* Assist with Client participant registration, tracking candidate leads, shipping of booth, swag, inventories, and marketing materials to all events
* Keep inventory of collateral and event supplies (swag) and order as necessary
* Assist with managing on-site production and clean-up for events as necessary
* Collaborate with the Events Team to produce memorable and impactful events for candidates
* Travel to various locations for site-inspections and events as required
* Resolve routine concerns and/or escalates to appropriate area for more complex concerns. Use interaction to positively impact the candidate/applicant attitude
* Partner closely with internal teams - Recruiting Operations, D&I Talent Acquisition, Diversity Partners, etc. - to ensure proper risk management and compliance requirements are upheld
**JOB EXPERIENCE FOR Event Coordinator:**
* BA/BS with 5+ years of relevant event, conference or trade show planning experience in a corporate setting. Experience in Talent Acquisition a plus
* Knowledge of Cvent, Zoom, MapYourShow, and large event venues operations (Chicago, Atlanta, Orlando, Las Vegas, etc.)
* Experience managing complex programs and events management, e.g. career fairs, college relations, etc.
* Advanced experience with Excel (Pivot tables)
* Excellent organizational skills. Ability to thrive in a fast-paced and changing environment
* Ability to handle multiple projects simultaneously, prioritize and meet deadlines
* Proven experience partnering with internal stakeholders
* Advanced problem solving skills to address complexity and an in-depth understanding of event planning at trade shows or similar functions
* Proven track record of influencing and navigating organizational boundaries and building strong partnerships with all levels of stakeholders to produce results.
* This position will require up to 20% travel to events for initial inspection prior to conference dates.
