Director of School Business Operations Alvin Ailey Dance Foundation (AILEY) is seeking an experienced individual to serve as our Director of School Business Operations reporting to The Ailey School Co-Directors within The Ailey School department. Position Summary: The Director of School Business Operations is a full-time senior level position that is responsible for overseeing and managing all aspects of the fiscal operations of The Ailey School. The Director of School Business Operations works closely with the Directors of the School to develop and implement long-range plans for the School; is responsible for drafting the School's annual budget ensuring that the School keeps within this budget; oversees and works closely with the Bursar in the collection of tuition and fees; presides over the computation and transmittal of the School's weekly payroll to the finance office; serves as the School's human resource manager for faculty and musicians and school part-time employees; submits all of the School's purchase orders and check requests to the finance office; drafts all contracts for choreographers setting works on students of the School. Department Summary: Founded in 1969 by Alvin Ailey, The Ailey School is the official school of the world-renowned Alvin Ailey American Dance Theater. The Ailey School trains students from all over the world providing them with high-caliber instruction in a wide variety of techniques each year. Located in The Joan Weill Center for Dance in midtown Manhattan, the School boasts a faculty of over 75 dance professionals who are experts in their fields and 37 professional musicians providing over 360 classes per week, and a staff of dedicated administrators and advisors. Responsibilities: Financial
  • Assists The Ailey School Directors in the annual preparation of the School's budget and monthly reports for revenue and expenses.
  • Plans for and collaborates with the Financial Aid Office and AILEY's Finance Office and with external auditors in presenting data for periodic financial audits of the School.
  • Conducts with the Directors of the School a monthly budgetary review of operating expenses, supporting services, and income and explains variances.
  • Designs, with input from the Directors of the School and the Chief Operating Officer, the structure of the School's internal fiscal operations and financial reporting and reports obligations to or from outside contractors/agencies.
  • Oversees the preparation of The Ailey School's weekly faculty/musician, student work-study, and part-time staff payroll for submission to AILEY's Office of Finance.
  • Prepares and submits all of the School's accounts payables and petty cash and alerts the Directors of the School of requests which may exceed set budgetary limits.
  • Monitors the transmittal of general student tuition income to AILEY's Office of Finance.
  • Maintains appropriate controls over the receipts process to insure against theft or defalcation.
  • In consultation with school Directors, constructs and implements tuition rates and fees for all school programs.
  • Constructs and approves payment plan programs when applicable to students in need.
Planning
  • In consultation with The Ailey School Directors, negotiates the initial administrative and programmatic structure of affiliations with other institutions.
  • After designing their structure, supervises the administration of these programs with the support of other staff and/or faculty.
  • Analyzes and reports to the Directors of the School the status of all affiliations, which includes the processing of payrolls, summarizing cash layouts, and processing invoices for reimbursement of expenses.
  • Assists Directors of the School in developing, communicating and implementing long-range plans for the School.
  • Serves as liaison with the entire organization regarding policy, space, and operational issues that affect the School.
School Productions
  • Drafts contracts and arranges payment for selected choreographers for each performance and Choreographic Lab.
  • Reviews budget with Production Coordinator.
  • Monitors tech and dress rehearsal schedule, ticket sales, and other personnel needed to run the School's productions.

  • Costume Coordinator
  • Summer Housing Coordinator
Skills and Experience:
  • Knowledge of finance, accounting, and human resources with experience as a supervisor.
  • Ability to analyze financial data, financial reports, and projections.
  • Budgeting experience.
  • Highly proficient in Excel with experience working in a Student Billing/Student Information System.
  • Strong organizational, analytical and problem solving skills.
  • Excellent customer service, interpersonal, and management skills.
  • Eye for detail with the ability to see the big picture.
  • Experience in arts related not-for-profit and/or school.
Education: Bachelors required with minimum 5 to 7 years direct experience Masters in Non-Profit Management or similar preferred Compensation: $100K annually.
