Job Summary:

This Administrative Specialist position will provide assistance to the Chief and supporting faculty of Surgical Oncology & Hepatobiliary(HPB) Surgery in the Department of Surgery.

This position will provide direct support to the Chief of Surgical Oncology & supporting faculty for Surgical Oncology, Endocrine, HPB and Colo-rectal Surgery.

Coordination of calendars, scheduling meetings, conference calls and other appointments; travel and accommodation arrangements; handle mail and other correspondence; screens and returns phone calls on behalf of the Surgical Oncology & HPB Division; facilitate communication with key contacts including hospital administration, community organizations, colleagues and staff; edit and proofread a wide range of correspondence; prepare and process expense reimbursements; maintain filing systems, both electronic and paper; prepare Colorectal and HPB call only. Surgical Oncology & HPB call schedule; act as a liaison between both Surgical Oncology & HPB team and their clinics.

This Administrative Specialist will provide cross coverage assistant to Surgical Oncology and HPB Surgery Clinic for the Department of Surgery. This position is responsible for providing day -to-day coordination and support to the Surgical Oncology & HPB surgeons; liaison for the surgeons with their clinics ensuring open communication between the clinics, their staffs, and the surgeons; provides open lines of communications with the staff, health care team, patients and families; triages all new patient referrals from physicians with the NP/PA's to determine when a patient needs to be seen; schedules new patient appointments and obtains medical records and imaging as needed; assists the clinical office with scheduling clinic appointments, as well as obtaining any additional or follow up records for established patients as needed. This position will be responsible for scheduling surgeries to include Insurance authorizations and obtain clearances if needed. This position will be in charge of managing GI Oncology Tumor Board and Colorectal Tumor Board conferences.

This position will provide cross coverage for other divisions in Surgery- General when needed.

Other Duties as assigned

Minimum Qualifications:

Associates Degree or pertinent college level courses and three years of administrative/office management experience. Will consider equivalent combination of education and experience.

Preferred Qualifications:

Ability to multitask all support roles in a high volume setting. Excellent phone customer service and strong computer skills.

Work Days:

Monday through Friday daytime hours
