The Company

A finance firm located in midtown Manhattan, near Grand Central. The company pursues various strategies within the United States, spanning direct lending, private equity, real estate private equity, and structured credit.

This is 5 days a week on-site role.

Job responsibilities.

  • Work with a team of two other Administrative Assistants to provide overall day to day support for the business while sitting at the front desk.
  • Welcome and greet visitors and employees, determine nature and purpose of visit, and direct or chaperone them to specific destinations.
  • Answer and refer incoming inquiries to appropriate department(s).
  • Register and confirm expected visitors and guests with building security.
  • Order office supplies and other common use items for office and remote employees, such as caf supplies, equipment toner, printer paper, freight, and shipping supplies etc.
  • Review, code, and approve expenses as well as expense reports.
  • Coordinate meetings, including managing the conference room calendars, ordering food, set up the conference room and interact with visitors and clients.
  • Ensure floors are stocked with snacks, beverages, and general office supplies.
  • Retrieve, scan, and distribute incoming and outgoing mail and packages daily.
  • Manage various daily reports.
  • Assist with companywide events including weekly office lunches and other firmwide social events.
  • Responsible for participation in general administrative duties (copying, filing, faxing, printing, binding, typing) and ad-hoc projects.
  • Present a positive and professional image for the organization.
  • It is important that candidates can be flexible, multitask and adapt to changing priorities, have an interest in learning the business, be proactive interacting with employees to see where you can assist and step up.
  • You will need to work well in a team environment with professionalism and deliver flawless work output.
  • You will need to adapt procedures, processes, and techniques to complete assignments in line with the firm s goals.

Who you are:

  • Bachelor's degree or equivalent work experience
  • 2+ years of administrative experience; ideally in financial services or legal sector
  • Excellent organizational, written, and verbal communication skills
  • Proficiency with MS Office Suite
  • A friendly, approachable attitude and enjoys working with a team
  • A knack for organization and an eye for detail
  • Proactive approach to problem-solving and process improvement
  • Ability to work well independently and in collaboration with others
  • Experience in Concur is a plus for assisting with coding expenses

The anticipated base salary range for this position is $15/hr - $35/hr plus annual discretionary performance-based bonus. Actual pay may be adjusted based on experience and performance.
