A premier global independent investment banking advisory firm is seeking an Administrative Assistant to join their Corporate Events team in NYC. This candidate with be exceptionally organized, meticulous, a team player, and maintain a commitment to the success of each event and their team.Responsibilities:The Administrative Assistant will:
- Monitor Corporate Events mailbox and respond appropriately in timely manner
- Track event requests, maintain team calendar
- Process expense reports and invoices
- Maintain inventory of event supplies and branded items
- Provide administrative support for events including printing, packing and shipping
- Assist with light travel booking and meeting scheduling
- Participate in various ad-hoc projects and perform other duties as assigned
Qualifications:
- Proficiency in Microsoft Office (especially Outlook, Excel, PowerPoint, and Word)
- Willing to learn some event registration technology (MS Forms and Cvent)
- Good time management, a sense of urgency, flexibility and ability to manage several projects simultaneously
- Superior communication and interpersonal skills, both written and oral
- Ability to develop strong working rapport with employees at all levels of the firm; sensitivity to confidential matters
- Sound judgment in knowing when to ask for help to prioritize tasks and when to escalate an issue
Desired Skills:
- 3+ years of experience in a professional setting/corporate office environment
- Familiarity with high-end food & beverage terms and trends
- Energetic; able to be on your feet for long periods of time and lift up to 25 lbs
