Salary: $23,393.50 - $30,060.50Grade: 14The Research Foundation for Mental Hygiene, Inc. at the Hutchings Psychiatric Center is currently seeking a qualified candidate to fill a part-time Administrative Support Assistant position. The incumbent will work 0.5 FTE (20 hours per week) as part of the OnTrackNY program multidisciplinary team.The OnTrackNY program is a mental health treatment program that empowers young people to make meaning of their experiences and to pursue their goals for school, work, and relationships. OnTrackNY supports the well-being of young people across New York State who are impacted by unexpected changes in their thinking and perceptions. Equity, inclusion, rapid access, and self-determination are at the core of the model.The incumbent will provide clerical support to the OnTrackNY, First Episode Psychosis (FEP) treatment team. Administrative Assistant will report to the Team Leader and work closely with other OTNY team members. The selected candidate should have experience in coordinating training events and meetings and must be proficient in Word, Excel, and PowerPoint. The candidate must also be able manage multiple tasks at a time, work efficiently and prioritize tasks. The selected candidate should have outstanding organizational, communication and interpersonal skills, be detail oriented and able to meet deadlines. The candidate should also be a team player, flexible, and responsive to feedback.Duties and Responsibilities:Set up and manage paper and electronic filing systems
  • Create, maintain, and enter information into databases
  • Maintain scheduling of event calendar
  • Schedule and confirm appointments for participants, staff, and supervisors
  • Order office supplies from HPC storeroom
  • Prepare correspondence, reports, and other documentation
  • Assisting with reports, data collection and data entry
  • Manage the logistics of virtual meetings including Webex and Zoom
  • Welcome and engage participants in the OnTrack Program
  • Arrange for transportation for participants when necessary
  • Coordinate with community providers for participant linkages and requests for records
  • Maintain required certifications/trainings for OTNY staff in accordance with applicable regulations, including but not limited to staff professional licensure, CPR/First Aid and Partnering for Safety trainings etc.
  • Processing paperwork as needed for the program.
  • Respond to or triage all program inquiries.
  • Organizing materials for trainings.
  • Respond to incoming calls and refer callers to appropriate staff.
  • Respond to questions concerning policies or procedures.
  • Other tasks necessary for the smooth operation of the program.
Minimum Qualifications:
  • A four-year High School Diploma or its educational equivalent and 2 years of satisfactory clerical/administrative experience or an Associate Degree plus one year of clerical/administrative experience.
Preferred Qualifications:
  • One year of experience managing Outlook calendar and scheduling.
